If you need to pause an account for a set period, follow these steps to switch off notifications, record the pause in HubSpot, and set a reminder to reactivate the account on the right date.

Pause the account

Open the account

Open the vendor account you need to pause.

Confirm the pause end date before you make any changes.

Turn off notifications

Turn off all notifications on the vendor account.

Check that every notification is disabled before you continue.

Add an account note in HubSpot

Open the account in HubSpot.

Create a new note and include:

  • the pause end date
  • the total number of paused days
  • whether extra time was added
  • any other relevant account details

Save the note, then pin it to the top of the account so it is easy to find.

Set a reminder to resume the account

Create a task

Create a task on the account.

Set the due date to the day the pause ends.

Add reactivation details

Add a note in the task that notifications need to be turned back on.

Turn on a reminder for the task, then save it.

Troubleshooting

Notifications are still being sent

Check that all notification settings are switched off on the vendor account.

If notifications are still active, refresh the page and check the settings again before leaving the account.

The pause details are missing from HubSpot

Make sure the note was saved and pinned to the account.

If you cannot see the note, check the account activity history or add a new note with the pause details.

The reminder date is wrong

Check that the task due date matches the confirmed pause end date.

If the date is incorrect, update the task straight away so the account is reactivated on time.

You are not sure if extra time was added

Review the pinned HubSpot note to confirm whether extra time was added to the account.

If it is not clear, update the note so the account record is complete and easy to follow.

Once this is done, the account is paused and you will have a reminder to reactivate it on the correct date.
